1. Registration

I’m trying to decide among a number of classes. Can I sit in on the first session of each and decide which to take for the second week?

Students are not able to attend class without registering. However, we do allow students to purchase “Single Admits,” a single admission to the class of their choice at a prorated fee.

“Single Admits” can be purchased in person at the Registration Desk on the first day of the class only if there is space left in the class. If you then decide to sign up for the entire class, we will credit the cost of your “Single Admit” from the total cost of the course towards your registration. Please keep your pink receipt as documentation. Note that classes that meet fewer than five (5) times are not eligible for single admits.

I want to register for a class but it’s already started. Can I still join?

We allow students to sign up by the second session of the class if the class runs for 4 or more sessions.  

The final enrollment date for each class is published online under “Additional Information” in the section description of each class. Students may not register after the final enrollment date.

Do you prorate classes?

CCAE does not prorate course fees based on attendance.

The class I wanted is full! Can I still register?

If the class you’re interested in is full, sign up for the waitlist. Sometimes, if there are enough people and we have a teacher and a room, we add a section. Again, we notify everyone on the waitlist if that happens.

Registering off the waitlist is based on first come, first served basis. If you get a notification, please call us at 617-547-6789 ASAP.  

2. Course Inquiry

I’d like to learn a foreign language at CCAE, but I’m unsure of my level. Can you help?

You can take the language test at ccae.org/languagetest to determine what level would be best with our guidelines.

What if I choose the wrong level? Can I transfer?

Yes! If you attend the first class and find that the level is not right for you, you can transfer to a new level before the second week of the term. We recommend talking to your instructor after your first class about your concerns. They will likely be able to provide guidance on the best class for you.

I was unable to sign up for the course I wanted this term. Will you be offering it in the future?

Many of our courses run each term, but not all. Please check the catalog for the next term, online or in print, to learn if the class that interests you will be offered again.

What books do I need?

Only language classes have required textbooks. If your class requires a textbook, you can find the book under the course description online.

You can purchase books through Schoenhof’s at 76 A Mount Auburn Street.

Do you supply sewing machines/power tools/musical instruments, etc.?

CCAE provides sewing machines for sewing courses, power tools for woodworking courses, and kitchen equipment for cooking courses.

You need to bring your own mat for yoga classes, and your own computer, camera, smartphone and/or laptop for photography, computer and/or technology classes.

CCAE supplies keyboards for piano classes. Students need to rent or purchase instruments for classes in bass, cello, guitar, recorder, ukulele and violin. 

I’d like to contact my teacher. Where can I find their info?

If you have a specific question for a teacher before the start of term, please send an email to info@ccae.org so we can forward it to the Program Director who will answer it for you.

There is no teacher listed for the class I’m interested in taking. How will I know who my teacher is?

Click on Class Search (at the top of the homepage) and enter the name of the class and/or the course code. If a teacher has been assigned to the class since the catalog was printed, you will see the teacher’s name in the listing. 

If there is no teacher listed that means we have not made the final assignment. This is not unusual in the case of our language classes. 

Note:  Sometimes a teacher is unable to teach a due to personal matters. In such instances, CCAE makes every effort to identify another teacher to step in. In rare cases, we are unable to do so and then we regrettably cancel that class.

How can I contact my teacher to find out what I missed?

If you know ahead of time that you will miss a class – and it is not the first one – let your teacher know. If you are absent unexpectedly, you can speak with the teacher during the next session or, if the teacher has shared their email you can send them an email.

If you are going to miss the first class, send an email to info@ccae.org and we will alert the teacher. You can pick up any materials you may have missed in the 2nd session.

I’m taking a course for work. Can CCAE provide documentation of my participation?

Yes. CCAE can provide a certificate of completion to students upon request. Send that request to us at info@ccae.org at the end of the term. We will send you an email confirmation that includes the name of the course that you took, the name of the instructor, the number of times the class met, the time of day that the class met and the cost of the class. 

If you need more specific information and/or you need us to send this on CCAE letter head with a signature, let us know in your email to info@ccae.org.

My class was great! I’d like to let you know.

We want your feedback. CCAE sends an evaluation form to each student at the end of each term. Staff reviews all of these evaluations and we send each teacher all the evaluations that they received. 

But you don’t need to wait until the end of the term. You can send your feedback to us in an email to info@ccae.org.   We will share that with the Program Director and the instructor unless asked otherwise.

My class was not as expected.  I’d like to let you know.

We very much want your feedback.  CCAE sends an evaluation form to each student at the end of each term. Staff reviews all of the evaluations, and we send each teacher all the evaluations that they received. 

You don’t need to wait until the end of the term, however. You can send your feedback to us in an email to info@ccae.org

We will share that with the Program Director and the teacher unless you ask otherwise.

3. Online Account

I forgot my password. Can you give it to me?

No. For our students’ privacy, we do not store your password information. Please use the reset password link on the log in page and a new password will be emailed to you.

I forgot my username. Can you give it to me?

Yes. Please call the Registration Desk at 617-547-6789,  stop by in person at 42 Brattle Street, or email us at info@ccae.org.

I found a course in your catalog I want to take, but now I can’t find it online. Where’d it go?

Our online listings include the most up-to-date class information. Sometimes during registration, new classes may be added, and our original offerings might be canceled or rescheduled.

Courses disappear from the website once registration is closed. If you can’t find a course online, we are probably no longer taking registrations for that course. Please feel free to give us a call to confirm. Staff can suggest other classes that might fit your interests and/or needs!

I tried to register online but the website crashed/I had a computer error. Did my registration go through?

If you were registered, you should have received an email confirmation. If you did not enter payment information you are not registered.

If you are unsure, you can call us at 617-547-6789 so we can help you. Our business hours are Monday- Thursday from 9 a.m. - 9 p.m., Friday from 9 a.m.-7 p.m., and Saturday and Sunday from 9 a.m. - 4 p.m.

4. Withdrawing and Transferring

How do I withdraw from a course?

Give us a call at 617-547-6789 and we can process your withdrawal over the phone. When you withdraw, a course credit in the amount of the course is automatically placed on your account, minus the $6 registration fee. For information on refunds, please see the section on refunds.

This class is not right for me. How can I transfer to a new class?

Students can transfer to a new class anytime before the second session of a class in the same term. If the new class costs more than your old class, you will be asked to pay the difference, but if your new class costs less than your old class, you will receive a non-refundable credit on your account for the amount of the difference. Please call us at 617-547-6789 or visit us at 42 Brattle Street to transfer classes.

5. Refunds, Credits, and Cancellations

I registered for a class but now I have a conflict. Can I get a refund?

If you withdraw 1 week or more before the start date of a course, we will issue you a refund or a course credit. Course credits are good for 18 months from the date of issue. There is a $10 processing fee for refunds and the $6 registration fee is non-refundable.

If you withdraw 6 days or fewer from the start date of a class, we do not issue course credits or refunds.

How long will it take me to get my refund?

Refunds take 7 – 10 business days to be processed.

I have a course credit on my student account. How can I use it?

To use your credit, you must register in person or over the phone. We are not able to process credits online at this time.  

My class was canceled by CCAE; do I get my money back?

If CCAE cancels a class due to low enrollment or a teacher who is no longer able to teach due to a personal matter, we will refund your tuition in full. Please call us at 617-547-6789 to request a refund. A course credit in the full amount you paid will already be in your account.

There is no fee for a refund when CCAE cancels a class.

If CCAE cancels a class due to severe weather and/or other circumstances beyond our control, we do not issue credits. We will offer a makeup class in those cases.

The times of my class were changed and I cannot attend. Can I get a refund?

In the rare instance when CCAE changes the times of a class after you have enrolled and you are unable to attend at the new time, we will refund your tuition in full. Please call us at 617-547-6789 to request a refund or a course credit in the full amount of your tuition.

My teacher was ill and one of my classes was canceled. When is the make-up class?

If an individual session of a class is canceled due to a teacher illness or family emergency, we work with the students and teacher to schedule a makeup class. Typically, pending teacher and space availability, we simply extend the duration of the course for one more session at the end of the term. 

CCAE does not offer refunds, credits, or partial credits for students who are unable to attend a makeup class.

The weather forecast is looking bad.  Are CCAE classes canceled?

When we cancel due to severe weather, we post that cancellation on our website and, if we are closed, on our phone message.  

If CCAE cancels a class due to severe weather and/or other circumstances beyond our control, we do not issue credits. We will offer a makeup class in those cases.

6. Gifts and Groups

How can I purchase a Gift Certificate?

You can purchase Gift Certificates over the phone at 617-547-6789 or in person at our Registration Office at 42 Brattle Street. Gift Certificates are accepted for in-person registrations only.

I want to register another person.  How can I do that?

If you are purchasing a seat for yourself and another person online, first click “Add to Cart” to register yourself and then click “Buy for Others” to reserve a seat for your friend. After payment, you will be prompted to email a reservation code to your friend. Your friend must create an account and redeem the reservation code to register into the class.

If you are registering yourself and another person in person or over the phone, we will first register you in the class and then make a seat reservation for your friend. Please provide us with a name and email address so that we can create an account for your friend and register them into the class. 

If the other person already has an account at CCAE, you can register them in person or over the phone. Staff members will register them using their existing information but take payment from you. In this case, the confirmation email and all other communication from CCAE regarding the class will go directly to your friend.

7. Financial Assistance

I have limited income. Do you offer financial assistance?

CCAE offers scholarship assistance – 50% off tuition – to adults of all ages. You can download guidelines and an application form at ccae.org/about/scholarships. You can email the application with a proof of income to Antonio Morales at antonio.morales@ccae.org. Otherwise, print out the form and deliver in person.

I’ve been approved for a scholarship! What do I do next?

Someone will contact you by phone or email to let you know you have been approved. After that, call us back to register over the phone or in person.

8. Documentation

Can you provide documentation for my employer?

Yes. A registration confirmation will be sent to your email when you sign up. We can also provide a certificate of completion at the end of the term. Please let your instructor know before the last class that you need one.

Can I transfer credits to my college or university?

No. Unfortunately, our school is not an accredited institution, so we do not offer classes for credit.

Can you help me get a Visa or an I-20?

No. CCAE is a recreational, educational organization and not an accredited Intensive English Program. We do not issue I-20s, and we cannot help with Visa applications. However, we do not require any documentation to take classes at CCAE.

9. Kids and Pets

Can I bring my child to class with me/can my child sign up for classes?

CCAE loves kids, but students are not allowed to bring their children to class under any circumstances – unless it is specifically listed as a class for an adult with a child. Students must be at least 18 years old to register for a class at CCAE. 

Students enroll in our classes expecting to study with other adults. While they are hesitant to let another student know that bringing a child to class is problematic, they complain to CCAE if we do not enforce this policy. 

We appreciate that scheduling can be difficult for parents. Unfortunately, CCAE is not able to offer childcare for our students or allow them to bring a child to class.

Can I bring my dog or other pet with me to CCAE?

Except for certified service animals, pets are not permitted at CCAE.

We love animals! But to assure the comfort of all students, we do not allow pets in our buildings. Although your classmates may welcome your pet, we can’t guarantee that a student in the next class won’t be allergic to or afraid of animals. 

10. Parking

Where can I park in the area?

There is metered street parking right in front of CCAE, and there are many garages in the area. We recommend the University Place Garage for daytime and the Charles Garage for nights.  CCAE validates parking for those garages.  Please see the info panel on the right side of out About Us page ccae.org/about.

11. Rentals/Getting Involved

I have an event coming up. Does CCAE rent out space in its buildings?

Yes! Email rentals@ccae.org for availability and pricing.

I’m interested in modeling for art classes at CCAE. Who do I contact?
